This Privacy Policy explains how MSMEBOT("we", "us") collects, uses, stores, and shares information when you use our website and our MSMEBOT CRM, MSMEBOT TASK APP, and MSMEBOT HRMS products (together, the "Services").

1. Information we collect

We collect information in the following ways:

• Account & profile data: name, work email, phone number, company, designation, and role, provided when you or your admin creates an account.
• Product data: records you create in the Services, such as leads, quotations, tasks, comments, leave requests, and attendance punches.
• Location data: GPS coordinates captured at punch-in/out and, if you opt in, during active real-time location sharing in MSMEBOT HRMS.
• Biometric data: a face-recognition or fingerprint template generated if you register for biometric login or punch-in, stored solely for authentication purposes.
• Usage & device data: IP address, browser type, device identifiers, and pages visited, collected automatically via cookies and similar technologies.

2. How we use information

• To provide, operate, and maintain the Services you and your organization use.
• To send transactional notifications by email and WhatsApp (approvals, reminders, invoices).
• To calculate KPI scores, attendance status, and payroll figures within your account.
• To provide customer support and respond to your requests.
• To improve the Services and develop new features.
• To comply with legal obligations and enforce our agreements.

3. Who can see your data

Data you enter is visible to other members of your organization according to their role and permissions (for example, a Manager can see their team's leave requests; an Admin can see company-wide records). We do not sell personal data to third parties.

4. Third-party processors

We use trusted third-party services to operate the Services, such as cloud hosting, email delivery, WhatsApp Business API providers, and payment processors. Each is bound by contractual confidentiality and data-protection obligations. A current list of subprocessors is available on request.

5. Data retention

We retain product data for as long as your account is active, plus a reasonable period afterward to comply with legal, accounting, or reporting requirements. Real-time location history is retained for a configurable period (30 to 365 days) set by your organization's admin, after which it is automatically deleted.

6. Your rights

Depending on your location, you may have the right to access, correct, export, or delete your personal data. You can exercise most of these rights directly from your account settings, or by contacting us at support@msmebot.com.

7. Security

We use industry-standard measures, including encryption in transit, access controls, and audit logging, to protect your data. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Children's privacy

The Services are intended for business use by adults and are not directed at children.

9. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version here with a new "Last updated" date.
